Streamlining Contact Management for a Growing Coaching Business

Client Background

Our client is a solo business coach and mentor who operates a well-established, service-driven coaching practice dedicated to supporting individuals and small business owners in achieving sustainable growth, clarity, and improved performance. The business offers a mix of one-on-one coaching, structured mentoring programs, and facilitated group workshops, both in-person and online. With a strong reputation built on trust, expertise, and long-term client relationships, the client’s work is highly personalized and relationship-focused, requiring consistent engagement and thoughtful follow-up with their audience.

The Challenge

As a hands-on business owner, the client manages multiple aspects of the business independently — including program delivery, client relationships, marketing, and administration. Over time, participation in events and workshops generated a substantial volume of contact information collected through manual sign-up sheets and paper records. While valuable, this data remained underutilized due to the lack of a structured digital system.

The client recognized the need to professionalize their backend operations by converting these scattered records into an organized, CRM-ready contact database. Their goal was to build a reliable foundation for consistent follow-ups, email campaigns, and long-term relationship management — without diverting time away from their core coaching work.

The client needed:

A clean, consolidated list of event contacts ready for digital use
Contact information structured for CRM systems and email automation
Duplicate and incomplete entries resolved to improve accuracy

They lacked the time and resources to manually type, research and organise hundreds of records, and needed a reliable solution that would allow them to import contacts seamlessly into their email and CRM platforms.

Our Solution

Together we scoped the tasks and decided the best approach was to create a single, standardised Excel/CSV contact file that could integrate with CRM or email marketing tools. Key steps included:

Typing up entries from event signup sheets into Excel
Researching missing suburb/postcode details when only street information was present
Combining multiple entries per person where available to enrich contact details
Quality-checking for consistency and formatting errors
Storing the working file in Dropbox so both the client and VA could collaborate and access earlier versions as needed
Tasks Executed:
Manual data entry with accuracy checks
Supplementary research for missing address components
Removal of duplicates where appropriate
Validated email formats and standardised phone number entries
Exported final versions in Excel and CSV formats
Uploaded and shared via Dropbox for smooth client access and import flexibility
Results
Efficient turnaround: Approximately 100 records completed every 1-2 hours, including research and quality assurance.
