Improving Job Search and Application Processes of a Career Consulting Firm

Client Overview:

The client is a Managing Director and Career Consultant of Cerritos, CA based Career Consulting Firm. Recognizing the need for personalized, results-driven professional development, career, and consulting services, they set out to create a company that fulfills that demand. Today, our client’s passion and commitment to excellence remain as strong as ever. Our client was the only employee in the company leading every phase and aspect of the business including sales/marketing/proposals, strategic planning, on-going business management, and service excellence. Our client is an accomplished self-starter with a strong record of success in driving all phases of program and project management from brainstorming, implementation, and sustainability under aggressive deadlines.

The Challenge

The ever-changing landscape of the competitive recruitment industry requires constant client focus. Businesses in this sector face the ongoing challenge of balancing administrative tasks while driving growth. At a very busy stage of their businesses, client was under enormous pressure to meet deadlines and drive continuous improvement. They found that they were spending valuable time on admin processes. At the same time, they met our sales team and explained the current state. They were looking for someone extremely organised and proactive to take on the administrative side of the program which included the job search and application for their clients in various job sites and company’s job portals. With limited time, they needed a VA who was efficient, reliable, and capable of handling these tasks independently with minimal questions.

Our Solution

To address the current needs and to execute the process as independently as possible, we setup the questionnaires, shared drives where they use to save all the responses and other documentations that is required for the job search and application. We create a process from the new client onboarding, to collecting the job requirements to the search and application process and used shared drives to execute the process. This enabled our client to see the current job search and application status of each of their clients anytime avoiding back-and-forth email communications. We used various job sites like Indeed, LinkedIn, Monster, Glassdoor, CareerBuilder, FlexJobs etc. to find the suitable jobs that match their skill sets and experiences and then apply for it. Initially, client used to review all the jobs that we find and then they used to approve them for the application process. After 6 weeks, client realized that we are able to review the resume and job preferences of the candidate (our client’s client) and are able to find the suitable jobs, client stopped reviewing the jobs we find and gave us a permission to both find and apply for the jobs to all of their clients. This saved a huge amount of time of our client and was also able to complete the process a lot quicker.

Results
With a well-established job search and application process in place, our client’s client was able to find the best jobs that are available in the market matching their experience, skills and preferences. In most cases, we found and applied for the job on the same day it was listed.
Improved the quality of service delivery for clients and transformed how the business operates internally
Freed up more of client’s time to focus on adding new clients. We saw that the new clients were onboarded.
Within 2 months of beginning work with the client, our VA had also taken on working for the MD. They had a great rapport and was providing invaluable day-to-day support, alleviating the workload.
