Streamlining Marketing Operations of a Business Coaching Firm

Client Overview:

The client is an Owner and Founder of Phoenix, AZ based business coaching and consulting firm. Client has co-founded, built, and exited several staffing and recruiting companies. Now, they help staffing agency owners scale their businesses, simplify operations, and build lasting client relationships. They also offer coaching in business, career, and life. All their clients will get the personalized attention that every client needs and deserves to be successful and in the right direction.

The Challenge

Being an experienced business coach with a thriving business but found it chanllenging to stay on top of marketing tasks and client communication. Some of the challenges include:

Administrative tasks like managing emails, scheduling, and on-boarding consumed over 10 hours a week, leaving little energy for creativity or strategic growth.
Unable to execute all the marketing plans and the involved processes. They struggled to organize workload and were unable to execute them consistently.
Unable to keep a track of the leads and their communication. Failing to do timely follow up resulted in a loss of revenue.
Due to limited time and resources, they postponed launching their courses. They also found difficult to manage the course audiences, their expectations.

Our Solution

To address their unique needs, we created a customized plan that integrated task delegation, process optimization, and marketing systems.

Streamlined her email and LinkedIn inbox by responding to inquiries and organizing messages to reduce clutter, saving 4 hours per week.
Streamlined and managed leads, clients and their communication using a predefined processes and systems. A lead tracker was created. We updated the lead tracker after every interactions at every stage which included information such as type of lead, stage of lead, source of lead, course they are interested in, when is the next discussion, revenue prediction etc. This ensured that the leads and clients were engaged throughout their sales and engagement cycle
Launched cold email and LinkedIn campaigns to promote services and courses, successfully converting leads into paying participants.
Identified leads/prospects on LinkedIn, Facebook and invited them to connect.
Posting content on social media and responding to all of them who reacted and commented on the posts. We also reviewed their profiles who viewed their profiles and invited them to connect if found suitable for the services and courses they offered.
Whenever the course or a podcast is scheduled, we connected with all the participants to understand their expectations, collected all their questions/concerns and provided inputs to our client so they are tune their courses and content to address them.
